Purpose of the Position:

The Online Donation Processing Clerks primary functions are processing all web and donation import activity along with reconciling all gift and donor information. This individual acts as the technical expert for the Donor Services Team and has a strong knowledge of web based applications. They have a great attention to detail and understand the importance of accuracy and data integrity. This person will also be speaking with our donors and understands the importance of providing excellent customer service.


Responsibilities:

• Processing donations for all types of donations
• Import donations and other vital information via Raiser’s Edge for the various external and internal imports including web based applications
• Process tribute donations
• Process credit card donations
• Retrieve and reconcile weekly reports
• Use advanced techniques to manipulate data when using Excel
• Set up new donor records in Raiser’s Edge
• Update donor information and track all points of contact with donors via Raiser’s Edge donor database
• Complete validation checks for all donor and gift processing
• Ensure the quality of donors records in Raiser’s Edge by conducting regular quality checks (daily, weekly, monthly or as needed) through validation queries and/or routine maintenance checks and update records as needed
• Work closely with the team to help support various tasks related to gift processing; communicate with staff when donations have been imported
• Prepare cash sheets for telemarketing gift donations and deliver to Finance.
• Learn how to use new phone system and be able to successfully retrieve and respond to calls
• Send out information packages and materials requested by donors
• Run weekly queries to capture all new donors. Send appropriate packages
• Respond to donor inquiries and requests via phone, mail and email in a professional and efficient manner; accepting donations over the phone
• Contact donors to obtain any missing information (invalid expiry date, donation amount, missing address information etc.)
• Provide support to the Monthly Donor Coordinator to ensure all monthly donor files are updated and all confirmation/update letters are sent to donors in a timely manner
• Provide support to the Bilingual Customer Service Representative and assist in answering calls during high peak volumes and/or absentee.
• Track daily business reply mail
• Other duties based on business needs

Qualifications:

• A minimum high school diploma
• 5 years data processing experience
• 2 years customer service experience
• Experience with data processing, online transactions and web based applications
• Proficient in Microsoft Office, in particular Word Mail Merge, Excel tables, sorts and filters, and Outlook
• 2 years experience with Raiser’s Edge or similar database that require importing and exporting of data, running reports and/or pivot tables and running quality checks and/or queries.
• French is an asset
• Outbound telemarketing experience is helpful
