As Canada’s largest agency serving at-risk, homeless and trafficked youth, Covenant House Toronto changes lives by providing the widest range of services and support to as many as 300 youth a day. A national leader, we educate and advocate for change by influencing public policy and delivering prevention and awareness programs. More than a place to stay, we provide 24/7 crisis shelter and transitional housing on-site and in the community, along with comprehensive services including education, counselling, health care, employment assistance, job training and after-care. To do all this, we rely on donors for more than 80 per cent of our $30.6-million annual operating budget. Our doors are open to youth 16 to 24 regardless of race, religion, sexual orientation, gender identity or the circumstances that have brought them to our doors. Since opening our doors in 1982, Covenant House has served more than 95,000 young people.
The Scheduler would be responsible for ensuring that the Shelter Program and the Rights of Passage Program are adequately staffed. This individual will be required to maintain an up to date record of shifts to be worked, time taken and coverage booked. Booking of Per Diem staff will comply with Per Diem usage policies.

The Scheduler will ensure that the Master Schedules are properly logged in the VSS Pro Scheduler system. They will be required to track all time off requests, find coverage for shifts from within our Per Diem pool and ensure that all data pertaining to these actions is accurately logged in the VSS Pro Scheduler and the EZ Labor system. The Scheduler will complete these tasks by the required deadlines and ensure that all staff schedules are published and distributed to the Shelter Program and Rights of Passage.

The successful applicant will be responsible for:

• Gather information regarding all time off requested, and trainings booked. Utilize this to establish where coverage is required. Log this in VSS Pro and EZ Labor.
• Communicate staffing needs to all Per Diems electronically. Book Relief staff (Per Diems) to work where coverage is required. Log the shifts in VSS Pro and EZ Labor. Confirm all shifts with Relief staff. Confirm all time off scheduled with full-time staff.
• Maintain accurate data in weekly and monthly schedules. Post these where required by the deadline assigned to the task.
• Track all events and trainings that will have an impact on the staff schedules. Note this on the weekly schedules
• Maintain up to date contact information for all staff in the Shelter Program and the Rights of Passage Program.
• Communicate with Managers of both programs to ensure that all needs are being met on a daily basis.

• High School Diploma and Computer Literacy Training plus minimum of 1 year experience in scheduling
• Familiarity with computer systems, particularly scheduling systems would be an asset. Excellent interpersonal, organizational and communication skills are required.
• Knowledge of Excel, Word for Windows, use of e-mail and Internet, good telephone manner, an eye for detail.
• Maintain positive relationships with all Per Diem and full-time front line staff and managers.
